# What is an agentic dental assistant?

An agentic dental assistant is software that carries out multi-step tasks for a dental clinic, such as turning a phone call into a follow-up task or a dictation into a draft clinical note, rather than only answering questions. In a careful design, people stay in charge: the software prepares the work, and a staff member or clinician reviews and approves it. The term describes software, not the dental assistant profession.

## Key takeaways

- Agentic means the software takes steps toward a goal, not only replies to a prompt.
- In a dental clinic, that usually means drafting notes, tasks, messages or claim details.
- The key design question is who approves the result. Look for a clear review step before anything is signed, sent or submitted.
- It is software. It does not replace dental assistants, hygienists, dentists or front-desk staff.

## How it differs from other AI tools

**Common kinds of AI software in a dental clinic**

| Kind of tool | What it does | Who acts on the result |
|---|---|---|
| Chatbot | Answers questions in a conversation. | The person who asked. |
| AI receptionist | Answers calls or messages, and may book appointments. | Vendors describe the system handling routine requests and passing others to staff. |
| AI scribe or ambient documentation | Turns dictation or a visit conversation into a draft clinical note. | A clinician reviews, edits and signs the note. |
| Agentic assistant | Carries out multi-step tasks and prepares drafts, sometimes across several roles in the clinic. | Depends on the design. In a human-approval design, a person reviews each draft and makes the final decision. |

## What to look for

- [ ] A review step before anything is signed, sent or submitted.
- [ ] An audit log that records what the assistant did and who approved it.
- [ ] Clear statements about where speech and patient data are processed and stored.
- [ ] Language support that matches your patients, including French where you need it.
- [ ] A clear description of how it exchanges information with your practice management system.
- [ ] Strong sign-in for staff, such as passkeys, with a second confirmation before sensitive actions.

## Glossary

**Agentic AI**
Software that plans and carries out a sequence of steps toward a goal, using tools or data, instead of producing a single reply.

**AI receptionist**
Software that answers a clinic's phone calls or messages. Depending on the product, it may answer questions, take messages or book appointments.

**Ambient documentation**
Also called an ambient scribe. Software that listens to a visit conversation and drafts the clinical note from it, for the clinician to review.

**Audit log**
A record of who did what and when in a system. In a clinic, it shows which drafts were created and who approved them.

**CDAnet**
The Canadian Dental Association's electronic claims service. Dentists submit dental benefit claims to insurance claim processors through CDAnet-certified practice software ([CDA](https://www.cda-adc.ca/for-dental-professionals/programs-amp-services/cdanet-and-itrans)).

**Canadian Dental Care Plan (CDCP)**
A federal dental plan. Participating providers bill Sun Life directly for covered services ([Health Canada](https://www.canada.ca/en/services/benefits/dental/dental-care-plan/providers.html)).

**Human in the loop**
A design in which a person reviews and approves the software's output before it takes effect.

**Law 25**
The Quebec law that modernized the province's private-sector privacy rules. It makes the person with the highest authority in a business responsible for protecting personal information by default ([CAI](https://www.cai.gouv.qc.ca/protection-renseignements-personnels/information-entreprises-privees/responsable-protection-renseignements-personnels-entreprise)).

**On-premises processing**
Running software on a computer inside the clinic instead of on a remote cloud server.

**Passkey**
A sign-in method that replaces the password with a cryptographic key stored on a device, unlocked with a fingerprint, face or device PIN.

**PIPEDA**
The Personal Information Protection and Electronic Documents Act, Canada's federal private-sector privacy law. Some provinces have laws that may apply instead ([OPC](https://www.priv.gc.ca/en/privacy-topics/privacy-laws-in-canada/the-personal-information-protection-and-electronic-documents-act-pipeda/)).

**Practice management system (PMS)**
The clinic's main software for scheduling, patient records, billing and claims.

**PMS-agnostic**
Not tied to a particular practice management system. It may still need a way to exchange data, such as file exports and imports.

**Voice charting**
Recording chart findings, such as periodontal measurements, by speaking instead of typing.

## How Cognizdent uses the term

We describe Cognizdent as an agentic voice and virtual assistant for Canadian dental clinics. It prepares drafts for the front desk, the clinical team, patients and insurance claims, in English and French. The workflow is draft, review, decide: the assistant prepares a draft, your team reviews it, and a person makes the final decision. It never signs notes, never submits claims and never guarantees coverage.
